Cancellation & Refund Policy

Any cancellation of registration should be communicated in writing to FMSC Registration Secretariat via email to: contact@fmsconference.my and will be subject to the following conditions:

Cancellation received ON or BEFORE 31 July 2026
  • Refund of the registration fee minus an administrative charge of RM400 for local delegates and USD100 for international delegates.
  • All refunds will be processed after the conference.
  • All refunds will be made via manual bank transfer by FMSC Secretariat and will be processed within 1 month after the conference.
Cancellation received AFTER 31 July 2026
  • No refund will be made.
  • Nevertheless, a substitute delegate is most welcome (kindly refer to “Name Change / Substitution” below for further information).
No Show
  • No refund will be made.
Double Payment / Overpayment
  • In case of double payment or overpayment, an administrative fee is applicable on the refund.
Name Change / Substitution

All registrations are valid only for the respective person mentioned in the Registration Form. A registered delegate unable to attend the conference may nominate (free of charge) a substitute delegate by notifying in writing to the Registration Secretariat by 1 August 2026 with complete information as required in the online registration form.

This statement sets out the Privacy Policy and practices of Family Medicine Specialist Conference (FMSC) committee that will be followed with respect to the collection, use and/or disclosure of customers’ personal data. This statement is provided in accordance with the Personal Data Protection Act (Act 26 of 2012) (“PDPA”).

Please note that this Privacy Policy complements, and does not limit or replace, the purposes for which you provide the Family Medicine Specialist Conference (FMSC) committee with your personal data which may be expressly stated in any form for submission of personal data to the committee.

Personal Data
What kind of personal information we collect

The personal information collected by us may include (but is not limited to) the following:

  • Name, Age, Gender, Date of Birth;
  • Race, Nationality and Identity Card Number / Passport Number;
  • Contact information including Home Address, Telephone Number and Email Address;
  • Your purchase details and history.
Purpose of Collection

The purposes for collecting personal data include enabling delegates to receive updates and information regarding:

  • Enabling your use of the services which the FMSC provides, including, where necessary, contacting you (whether by SMS, email or otherwise);
  • Dealing with enquiries made by you;
  • Maintenance and updating of the data;
  • Statistical analysis;
  • Administrative or operational purposes;
  • Tax filing preparation;
  • Processing credit notes and processing refunds;
  • Collection of fees, charges and expenses for services provided;
  • Verification and identification purposes;
  • Carrying out billing, accounting, auditing and maintaining proper book-keeping;
  • Disclosure of relevant books, documents, records and information (in hard or soft copy) to auditors for preparation of financial reports.

If you have provided personal data of individuals other than yourself to the FMSC Committee, you confirm that you have obtained the necessary consent from those individuals for the collection, use and disclosure of their personal data.

Data Quality

The FMSC committee will take reasonable steps to ensure that the personal data it collects, uses or discloses is accurate, complete and up to date.

Data Security

The FMSC committee will take reasonable steps to protect the personal data it holds from misuse and loss and from unauthorized access, modification, or disclosure. The FMSC committee will not retain personal data longer than necessary and will take reasonable steps to destroy or permanently de-identify personal data when it is no longer required.

Upon your written request, you are entitled to access or correct the personal data about you that is in the possession or under the control of the FMSC committee. A fee may be charged where necessary. You may send your data access request, data correction request or any inquiries about this policy via email to: contact@fmsconference.my

Access and Correction

You are entitled to access personal data about you that is in the possession or under the control of the organization and information about how the personal data has been or may have been used or disclosed within a year before the date of request. This may be done by submitting a written application to the Designated Person requesting such information.

The FMSC Committee reserves the right to charge a reasonable administrative fee for supplying such information and may refuse requests which are considered unreasonable, frivolous, vexatious or excessively frequent.

Where a correction of an error or omission is requested, the FMSC Committee will correct such data as soon as practicable and, where applicable, send the corrected personal data to every organization to which the data was previously disclosed, unless that organization does not require the corrected data for any legal or business purpose.

The FMSC Committee may decline access or correction requests in accordance with the exceptions under the PDPA, including where:

  • There are reasonable grounds that the correction should not be made;
  • The request for access is frivolous, vexatious, or the information requested is trivial;
  • The personal data relates to a prosecution and related proceedings have not been completed;
  • Disclosure would reveal confidential commercial information that could harm the competitive position of the organization;
  • The personal data was collected, used or disclosed for investigation purposes and related proceedings or appeals have not been completed.
Transborder Data Flows

If your personal data is transferred outside Malaysia for administrative or operational purposes within the FMSC Committee, we will ensure that the recipient provides a standard of protection comparable to that provided under this policy.

Personal Data Erasure

You may request deletion of your personal data by emailing contact@fmsconference.my. Upon deletion, all collected information mentioned above will be removed from the database.

If you have any queries, requests, or wish to make any applications concerning your personal information or data, please contact us via phone call or email.

Programme Changes

The FMSC reserves the right to modify the Congress programme at any time, which is provided for indicative purposes only and is subject to change. No fees will be waived, nor will there be any right to further claims, should the FMSC be required to alter the programme of the FMSC Congress.

Disclaimer

FMSC 2026 Registration Support Team shall be responsible for any bodily or material damage (including theft) sustained by delegates or their accompanying family members during the FMSC Congress or in relation to it, unless caused directly by the fault of the FMSC 2026 Registration Support Team.

Delegates are responsible for arranging their own travel and medical insurance.

Travel Insurance

Personal travel insurance is strongly recommended to cover registration fees, travel, accommodation, medical expenses, and loss of personal effects.

Force Majeure

In the event of serious, special or unforeseen circumstances beyond MSIDC & APSIC 2026' control and other than Force Majeure, the organiser shall be entitled to cancel the event. Registered participants shall not be entitled to seek compensation for any costs or damages incurred other than the registration fees paid to the organisers, which will be reimbursed to the registrant. We strongly advise all participants to obtain appropriate insurance to cover travel, accommodation and any other costs that may be incurred as a result of cancellation or postponement of the event.

Please register through the conference website and select the “Local Payment Order (LPO) – KKM Only” option during registration. You will be required to upload the LPO document as part of the registration process.
